You may wish to have your institutional repository, or digital archives, directly loaded in EDS so it can be fully searched alongside other EDS resources. If you select this option, you must complete the Institutional Repository (IR) Database Questionnaire. The questionnaire covers the complete set-up of your repository, from initial branding and display questions through data mapping and record retrieval options. Since each repository is different and may contain unique aspects, each institutional repository is analyzed for optimized loading and display.


It is important to note that, although your custom IR database is a part of your discovery layer, EBSCO does not host the content. We load the descriptive information about objects in your library’s archive/repository and set up links in EDS that direct users back to your archive/repository where they can request, retrieve, or view the item.


OAI-PMH and FTP are the standard methods of transferring data we use to load your institutional repository metadata to an EDS Institutional Repository. OAI-PMH is our preferred method of harvesting data from your repository. If your repository is OAI-accessible, please use this method to fetch data. If this is not an option, we can set-up an FTP account for you to submit a data file.

Before you start the questionnaire, make sure you have the following:

  • Basic information about your repository - name, description, software/vendor (digital collections specialist)
  • Data acquisition preference (digital collections specialist/technical specialist)
  • Decisions or a process for making decisions, on preferred linking to your collections, as well as the presentation of the collection itself (various stakeholders)
  • Ability to define the data elements present in your repository (digital collections specialist)

To ensure your Collection Names are appropriately indicated and displayed, please submit a lookup table that we can use to map the formats present in your data set using the Collection Name(s) given in the dataset and indicate what should be displayed under the Collection facet, Collection limiters, and on the Full Record display:

Name_in_data –- the text in the designated metadata element (typically the <setSpec> value) that we should use for matching to the lookup

Facet_Display --  values should be concise versions of the full name, with a maximum of approx. 40 characters. (It is neater on the interface than an extended title). This value will be phrase indexed and will search exactly that set.

Full_Display --  the full name of your collection or set, as you would like it to appear on the full record. Will be word indexed.

Limiter_group –- the visible limiter string that will search one or more facet values. In the example below you could have one limiter value per facet, or group together under a larger set.

Appendix A - Publication Type Setup:


Records within Institutional Repositories often contain some sort of Document Type information. However, they often do not map the Document Type information to specific Publication Types. EBSCO uses Publication Types for two primary purposes: the first is to generate Publication Type icons and the second is to include the Publication Types within the Source Type Facets.

In order to take advantage of these two features it is necessary to provide a Lookup Table to explicitly map the various Document Types which occur within your data with the corresponding Publication Types used by EBSCO.
