Getting Started

OpenAthens is a project that includes several basic milestones. The questionnaire supplies EBSCO with the information we need to complete the major milestones in the set-up process.

Let's get started!  We'll begin with your administrator contact details and organization structure. Next, we'll ask you questions about reporting, resources and optional settings.
Administrator Details

Note: OpenAthens admin can only be accessed from approved IP addresses. Please provide IPs used by your administrator (you can include your entire network)
Library Contact Details (End User Support)
EBSCO recommends using a shared email (if available) for end user support e.g. helpdesk@library.com
Support contact details are included in emails sent to users (e.g. account activation) and on the login box for point-of-need assistance (see example, click 'Problems Signing in?' and then 'Need further support'). You may want to have different contact details for technical management and end user/everyday support.





OpenAthens Administrator Structure: Sub-Organizations


"Multiple Organizations" are set-up in a hierarchical structure, allowing you to:
*   Set-up unique resources for some/all organizations  
*   Report on usage by organization
*   Use different email templates/contact details for different organizations



Optional account preferences



Warning: Your administrator is responsible for maintaining OpenAthens user accounts. Accounts will be deleted if they have been expired or not activated for a period of 365 days (in line with the Data Protection Act (UK)).  The administrator will be sent a warning 30 days before accounts are due to expire so they can take appropriate action

Reporting

OpenAthens allows you to collect granular usage reports by user, group or organization. You can read more about available reports

'Groups' are categories of users. The primary purpose is to break down usage into useful market segments.  Customers have used groups to assess usage from key stakeholders or split the cost of resources between internal departments. 

Groups are optional.


For your information:
Each user can only be assigned to one group.  EBSCO will set up the same groups for any sub-organizations. If you need different groups for sub-organizations, please provide a brief explanation of your requirements in the notes field.

Resource Access


EBSCO can set-up OpenAthens access to online resources if your license agreement(s) allow remote and/or proxy access. You should tell EBSCO if access needs to be restricted to specific user groups or organizations in your hierarchy.

Review your online orders and submit a list of resource(s) for your set-up. A template has been provided for sending EBSCO the information we require to configure access.

If you have more than one organization with access to unique resources, you will need to complete the template for each unique organization.

User Journey - access points or websites



A user journey includes the access points your users will go to in order to login to your resources.  An access point is a website that needs to have OpenAthens links added to it to enable single sign-on (e.g. a library homepage, intranet, catalog or discovery service).

MyAthens

MyAthens is a simple, personal portal where each user can log in and personalize their MyAthens account. It also displays all the resources that the user is allowed to access according to their permission set(s).

Self-Registration

EBSCO will design a draft of your self-registration form based on your requirements.  

You will be sent the design for feedback and approval before OpenAthens starts building the form.   

Users can only self-register if they have been identified as a valid user of your organization.  They can do this by registering an approved email address (with a network-managed email domain) or their IP address (within your approved range).

Bulk Upload
