Dear Exhibitor:

 

Prime Time Palm Beach County is hosting its Afterschool Symposium 2019 for out-of-school time (OST) practitioners.  The annual event provides provides well-deserved recognition for practitioners who work in local afterschool and summer programs, as well as professional development and exposure to new resources.    


We invite you to be part of this year’s symposium themed “Spark the Mind that Changes the World,” on May 16, 2019, from 9:30 a.m. to 11:00 a.m.  We are particularly interested in showcasing products and services that promote social and emotional skill-building such as teamwork, persistence, goal-setting, self-control and getting along with others , which could be linked to success in school, career and life.  We anticipate the symposium attracting more than 200 OST professionals from across the South Florida region who serve a myriad of organizations – public, private, faith-based, urban, suburban, rural, large and small.

 

As an exhibitor, your organization will be listed in the Prime Time Palm Beach County Afterschool Symposium 2019 program. In addition, you will:

 

·         Generate on-site sales and new sales leads

·         Establish or enhance your market presence

·         Meet with a variety of OST professionals all under one roof

·         Demonstrate your products and services

·         Boost your organization’s image and increase visibility

Exhibitor Application & Contract

Registration & Fees

Early registration is strongly encouraged.  Complete and return the exhibitor application (included in this packet) with your payment. You will receive a confirmation email once your application has been received. We would be grateful if you would donate a door prize for the event (i.e., products, services, free classes, etc.) These prizes will benefit afterschool and/or summer camp programs. Your donated item must be received by mail or delivered to Prime Time by March 29, 2019. Thank you in advance for your consideration.

 

The exhibitor registration fee is $35.00 and includes access to approximately 200 OST providers, listing in the Prime Time Palm Beach County Afterschool Symposium 2019 program, a six-foot table with two chairs, symposium name badge and company name place-card at your table.  For an additional $15.00 you can join us for a plated breakfast during the Awards Breakfast on Thursday, May 16, 2019, from 8:00 a.m. - 9:30 a.m. (one additional breakfast reservation is $25.00).   Larger tables cannot be accommodated; however, you are welcome to purchase additional space. Displays should not spill into the aisles; be sure to check your space requirements.  If you are unable to attend the symposium, but would like to participate, please submit your payment of $20.00 and 300 informational pieces to be placed in our event bag.   Payment and informational pieces should be received by Prime Time prior to March 29, 2019 for your organization to be listed in the program.

Space

All exhibitors share a large space, making the area an optimal space for participants to interact with your organization and view your products or services.

 

Your organization may set-up on Wednesday, May 15, 2019, between 5:00 p.m. – 8:00 p.m. or Thursday, May 16, 2019, from 7:00 a.m. - 9:00 a.m. Your table must be completely set up by 9:00 a.m. on Thursday, May 16, 2019 (8:00 a.m. if you plan to attend the Awards Breakfast).  You are encouraged to coordinate delivery options for shipment of table materials to the exhibit area with Prime Time. If you are not shipping items to the hotel, you may self-load/unload as instructed upon your arrival.

 

A representative from your organization must be present at your table during exhibitor hours (9:30 a.m. – 11:00 a.m.). All representatives must register as an exhibitor and wear name badges.  No more than two representatives will be permitted to manage table.

                                

Printed materials may be distributed from your table only.  Do not distribute materials in areas paid for by other exhibitors.  Banners may be hung from your table.  Per hotel policies, please do not hang anything on the walls of the exhibit area.  Audio-visual needs must be secured by exhibitor.  

Rules and Conditions 

As part of the contract between exhibitors and Prime Time Palm Beach County, these rules have been created to ensure a successful event for exhibitors, sponsors and participants.  Prime Time reserves the right to determine the eligibility of any company for inclusion in the symposium and reserves the right to reject, affect, or prohibit any exhibit in whole or part, or any exhibitor or his/her representative.  At the discretion of Prime Time, products deemed inappropriate or objectionable will be removed from the exhibit area.  Refunds will not be made as a result of the removal.

 

Assigning, subletting or sharing the space assigned without the prior written consent from Prime Time Palm Beach County is prohibited.  Exhibitors will be held responsible for any damage to property, the building, employees, or other agents. Neither Prime Time Palm Beach County, the West Palm Beach Marriott, nor any attendee of the Symposium shall be responsible for any injury, loss, or damage that may occur to the exhibitor, the employees of the exhibitor, or property from any cause whatsoever.

The exhibitor agrees to indemnify and hold harmless Prime Time Palm Beach County, Inc., and official symposium service contractors for any claim arising out of acts of negligence of exhibitors, their agents and/or employees. (At least one representative must be present at table location during exhibitor hours – 9:30 a.m. - 11:00 a.m. on May 16, 2019.)

Liability:  Exhibitor agrees to make no claim for any reason against Prime Time Palm Beach County, Inc. and any contractors for loss, theft, damage or destruction of goods; nor for any damage to his/her business by reason of the exhibit; nor for any injury to him/herself or employees; more for any action of nature of the Afterschool Symposium, or its members, officers, committee, agents, or employees.
