Criteria for enrolment

  • You must be able to whakapapa to one of the 33 hapuu and one of the 68 marae listed on this information form.

  • You must complete all sections of the application form.

  • You must provide a copy of a valid form of identification eg, NZ Passport, NZ Birth Certificate, NZ Driver Licence (and place of birth advisement), Marriage certificate.


Why should I enrol?

  • It identifies you as a registered member of Waikato-Tainui.

  • (If you are over 18 years old) you can vote on tribal matters.

  • It allows you access to a range of grants and opportunities.

  • You can stay up-to-date and informed about tribal matters.


Once I have enrolled, do I need to do anything else?

  • You should keep your tribal records updated by either logging in to your online account or contacting 0800 TAINUI.

  • You should enrol new members in your whaanau, e.g. your tamariki.

  • You should notify us when there is a death in your whaanau so we can update our records.

  • We recommend that you register through www.waikatotainui.com for online access. Once that process is complete, you will be able to view and update your own details.

PRIVACY STATEMENT - WAIKATO-TAINUI TRIBAL REGISTER

The personal information you supply in this application for registration on the Waikato-Tainui Tribal Register is being collected, and will be held by, Te Whakakitenga o Waikato Incorporated, 2 Bryce Street, Hamilton. 

This Privacy Statement explains how Te Whakakitenga o Waikato Incorporated collects, uses and discloses the personal information that we collect from you or which we have obtained about you from a third party.  It sets out various rights that you have in relation to that personal information. 

We may modify or amend this Privacy Statement at any time and for any reason.  You can view our most current Privacy Statement on our website (https://www.waikatotainui.com/organisation/te-whakakitenga-o-waikato/).

How we collect personal information

Te Whakakitenga o Waikato Incorporated may collect personal information in the following ways:

  • directly from you or third parties acting on your authority or who you authorise us to make contact with about you;

  • publicly available information searched as part of the administration of tribal matters;

  • through your use of our website and the services and functionality offered through it;

  • the agents and service providers that we may engage to assist us with fulfilling any of the purposes recorded in this Privacy Statement;

  • from third parties connected with matter(s) related to any benefits provided by Te Whakakitenga o Waikato Incorporated.

How we may use and may share your personal information

Te Whakakitenga o Waikato Incorporated, its related entities, business partners and other external agencies (including the marae named below and any that have joined thereafter) may use and share your personal information for the following purposes:

  • to verify your identity and for other related administrative purposes;

  • to improve and develop our services, including working with you and other agencies to develop ways in which we can improve our services and the way we deliver them;

  • for the distribution of settlement proceeds and benefits for you specifically and tribal members generally;

  • to assist in the administration of tribal matters, including (but not limited to) elections to Te Arataura and Te Whakakitenga o Waikato Incorporated;

  • to assist in the governance and administration of the marae named below and any marae that have joined thereafter;

  • to enable appropriate collaboration between Te Whakakitenga o Waikato Incorporated and other agencies, including Government and Crown agencies, for the improvement and wellbeing of tribal members;

  • the identification of tribal members entitled to settlement benefits.


Disclosure

In connection with the purposes above, Te Whakakitenga o Waikato Incorporated may disclose your personal information to:

  1. Nominated Kaumaatua: applications for registration on the tribal register will be initially validated against the whakapapa held, where Te Whakakitenga o Waikato cannot validate the whakapapa of an applicant the application must be verified by a nominated kaumaatua from the marae/hapuu named on the registration form.  This means that Te Whakakitenga o Waikato Incorporated will need to provide the whakapapa details in your application form to the nominated kaumaatua for review.  Validation can be arranged by Waikato-Tainui Tribal Registration kaimahi.

  2. Nominated marae:  A printout of the persons registered to each of the 68 marae will be supplied at least once annually to each marae committee.  The details supplied to each marae will only be used for the purposes the information was collected (as outlined above).  This includes advising marae members about Annual General Meetings and other marae matters.  Marae must not use the information for any other purpose or share it with any other agency, organisations, body or individual, private or Crown.

  3. Other agencies:  Te Whakakitenga o Waikato Incorporated may share your personal information with other external agencies including service providers or suppliers, Crown or Government agencies, data centres and/or cloud service providers.  Your personal information may be supplied to such external agencies either:

  1. in an anonymised format or on the basis that your personal information is processed and analysed digitally but will not be accessed directly by any person within that external agency; or

  2. in a non-anonymous format for the purpose of verifying your identity and/or contact details, or for strategic and forecasting purposes within a closed digital platform to enable data analysis.

Storage

Te Whakakitenga o Waikato Incorporated will store your information in secure data storage facilities. 

Some of our third-party providers may be located outside of New Zealand, including cloud service providers, software providers, accountants, and other service providers. This may mean some of your information may be disclosed, held and/or processed outside of New Zealand. Where these service providers are based overseas, we will take reasonable steps to satisfy ourselves that they are subject to privacy laws that, overall, provide comparable safeguards to those in our Privacy Act in New Zealand.

Access and correction

You may request access to any of your personal information. Subject to any lawful grounds for withholding requests under the Privacy Act 2020, we will provide you with access to the personal information we keep about you.

You may request that the personal information we hold about you be corrected. If we agree that your personal information is to be corrected, we will do so.  If we do not correct your personal information, your correction request will be kept with the personal information held.
