AMEU Exhibition Application 2018

Dear AMEU Affiliate Member,

Thank you for your consideration in booking exhibition space for the 2018 AMEU Convention being held from 7 - 10 October 2018 at the CSIR Conference Centre, Pretoria, hosted by the Tshwane Metro Municipality.  Please carefully read the notes below for information and the Exhibitors manual will be made available at a later date which will include venue and exhibition restrictions, rules and regulations.

Please note: Applications will only be accepted by fully paid up members of the AMEU Affiliates organisation.

Exhibition Costs (stand only):

Maximum number of 2 stands only in main exhibition hall

There are various options this year:

There are 3 x 3m stands in the foyer – these are premium stands and only one per company is permitted – the cost of a stand is as follows:

Main Foyer Front: R16 500.00 plus VAT (1 per company)

Main Foyer Back: R9 250.00 plus VAT (1 per company)

There are 3 x 3m stands in the exhibition area – only two per company is permitted – the cost of a stand is R7 950.00 plus VAT

There are 3 x 2m stands in the exhibition area – only two per company is permitted – the cost of a stand is R5 400.00 plus VAT

There are 2 x 3m stands in the exhibition area – only two per company is permitted – the cost of a stand is R4 800.00 plus VAT


The above applies for both custom and shell scheme stands


Please note that these costs DO NOT include ANY exhibition personnel nor delegate fees.  Delegate and exhibition personnel registrations must be done online on the AMEU website.


All payments must be made on receipt of an invoice sent to you by Jacqui Burn the Treasurer.  Please note payment is to be paid into the AMEU Affiliates Standard Bank account which is mentioned below:

Request for Exhibition Space/Shell Scheme

·         The Total Shell Scheme size is relative to what stand you have chosen whether it be a 3 x 3m, 3 x 2m, 2 x 3m or a 4 x 2m


Fascia: The fascia consists of a 4mm laminated panel which is 300mm deep


·         Two spot lamps 150 watt


·         A fascia board with your company name included (all names will be in a standard size and font). Two fascia boards if on a corner stand.  Please provide correct spelling.


·         A single 15Amp electrical power point.  Please note all exhibitors must bring their own extensions and furniture alternatively these can be hired from GL Events/own stand builder.


·         The exhibitor manual is presently being compiled and will be available on the AMEU website: once completed. 


·         The contact details of the onsite manager will be detailed in the exhibition manual

Additional stand items must be booked with GL Events, directly before 22 September 2018.

Note: No early breakdown will be permitted


Stands must be manned and operational for the duration of the Convention.


All exhibitor personnel must register as delegates, online for the conference on the AMEU website.








Only the signature of the organiser’s authorised representative will constitute valid acceptance.

Authorisation: The person submitting this booking form hereby certifies that he/she is duly authorised thereto on behalf of the contracting company / organisation, which will be invoiced accordingly and will be responsible for settling the account and registering delegates manning the stand and/or attending the conference.



Invoices are emailed on receipt of this exhibition registration and booking form and payment is due on receipt of invoice into the AMEU Affiliates Account:

Stand space numbers are only confirmed upon payment.  For cancellations received in writing on or before 13 September 2018, the fee will be waived and/or refunded in full.  Thereafter cancellations will not be accepted, although should an alternative exhibitor take over the space from the contracted company / organisation, a full refund will be made.


There are 54 stands available this year.  Stands will be allocated on a first come first paid  basis.  Once your application is received by this form, the floor plan will be made available to you to choose your stand numbers.  Note only paid space is confirmed and you may lose the space you have booked if you have not paid the full amount into the correct bank account for the AMEU Affiliates and a clear payment advice has been sent to Jacqui Burn with the company name and invoice number as a reference on the payment advice.

Acceptance will only occur once the exhibition fee has been received in full and paid into the correct account.

We also remind you that applications will ONLY be accepted from companies that have paid their 2018 membership fees and have no unpaid invoices from previous years.

Important additional notes:


The exhibition will be held in the CSIR Conference Centre. 


The weight restriction will be detailed in the exhibition manual.  No equipment exceeding this weight will be allowed into the venue. 


The exhibition hall and foyer is 2.3m high therefore the maximum height restriction for stands is 2m.  No equipment exceeding this height will be allowed into the venue.

Companies are responsible for arrange their own storage if needed and additional costs may apply.


The CSIR has 2 cages where they store boxes for Exhibitors.  But due to the business of the centre during August to December, they kindly urge Exhibitors to only deliver the day before the event to avoid problems. 

ALL boxes/material must be cleared on the last day of the conference. 

All deliveries must be cleverly labelled:  the name of the Sender (Contact person and company) telephone and event name.

All Catering will be served in the exhibition hall.  Outside food may not be brought into exhibition halls by event organizers or third parties. 



Although the exhibition venue will be locked each night, exhibitors remain responsible for any material on their stands. The organisers, venue or any sub-contractor will not accept any liability for any loss or damage.  Security will be provided.
