Convict Free Statement

1. The Hong Kong Sexual Conviction Record Check Scheme was introduced in Hong Kong in 2011. Mother’s Choice now requires all staff, who reside in Hong Kong, to obtain a “Clear” Report prior to commencing their work with us.

2. It will therefore be necessary, as part of your Application Process, for you to obtain a “Clear” Report (or “Conviction Free” Statement) from the authorities in your own country (normally the Police)

3. This to be submitted to us with your Application. Mother’s Choice cannot consider your Application without a Clear (or "Conviction Free"Statement) .

4. Thank you for your understanding and consideration. Should you have any difficulty in obtaining this Report/Statement and/or your ‘home’ country does not provide this type of information, please contact us immediately.

5. Please note that any costs in obtaining this Clear Report/Statement are for your own account.

Data Privacy Statement

1. Mother’s Choice processes volunteer data in connection with the volunteer/organisation relationship, including the scheduling of volunteering activities, maintaining of contact details, insurance purposes, sickness and absence records, suitability and performance, taking decisions as to fitness for duty, and also more generally to maintain and improve security systems and ensure compliance with its legal obligations.

2. Mother’s Choice stores volunteer data in controlled-access databases in Hong Kong and in paper and electronic files. To ensure security, the electronic databases can be accessed only by authorized users. Mother’s Choice places certain information, such as names and contact details, in its internal directories, which are accessible by employees and volunteers within the organization who are responsible for scheduling volunteering activities, for the purposes of contacting and identifying active volunteers.

3. Mother’s Choice will at all times take reasonable steps to ensure the security and confidentiality of volunteer data and will continue to improve these measures over time in line with legal and technological developments.

4. You have certain rights to review and update your volunteer data periodically. Please contact your volunteer supervisor or the Volunteer Engagement Team (mcvolunteers@motherschoice.org) for further information and assistance in this regard.

5. You may also have provided information to Mother’s Choice about your dependents, relatives and friends in connection with emergency contact details. By providing Mother’s Choice with such information, the Organisation presumes that these people are aware that you have provided their data and that they consent to the organisation to process their data for the purposes for which you provided it for.
