Congratulations on organizing your own TechGirlz Event! While we are here to support you, this is your event and we have created some guidelines to make it successful. This document will go over what to expect over the new few weeks.
TechGirlz Will:
Create your event, provide a lesson plan, and event updates: Provide complete lesson plans for event activities (includes slide presentation). Create and send you a link to the registration page containing a registration link.
Handle base communications, workshop registrations, and provide support: Collect and manage registrations, and send an event reminder email. Email registration list about 10 days before the event. Email registration list every day starting 5 days before the event (unless otherwise specified). Support and answer questions as needed during business hours. Provide student certificate of participation upon completion of online survey.
Assist in the promotion of your event: Advertise your event on our website, List in parent newsletter. Promote to local online magazines (MetroKids, etc). Post to social media accounts (Facebook, LinkedIn, Twitter, etc.). Additional community outreach as discussed.
You/Your Organization Will:
Provide all volunteer background clearances to TechGirlz as specified here. Companies/organizations, please check with your regional manager for more information.
Confirm space is ready for your event: Is the hardware outlined in the lesson plan ready and available? (Ex: Is there wifi and a projector that you can access?).
Assist in the promotion of your event: Tweet or post from the corporate or local social media account at least 2-4 weeks before the event (Facebook, twitter, LinkedIn, etc). Drop off flyers at local schools. Hang flyers in local grocery stores, restaurants, libraries, community and sports centers. Ask co-workers or other contacts to spread the word. If desired, buy a Facebook ad.
Communicate with instructors and parents about arrival time, firewall and connectivity issues, and devices available for workshop. Email the parents prior to the event if the girls need to download any software on their laptops or if parking instructions need more detail. Work with the instructor to ensure the girls and instructor fill out the survey.
Be aware of TechGirlz’s policy of boys or younger children attending TechGirlz events that are promoted on our website.
