2021 Volunteer Form

Thank you so much for your energy, enthusiasm, and time. The success of the AIFF depends on it!

General Information 

While we are grateful to all of those who are willing to donate their time to AIFF, there are a limited number of positions available for these events and we may not be able to offer roles to all of those who apply. Priority will be given to those who have participated as a volunteer with AIFF in the past. We look forward to connecting with all of you at our next live large-scale event!


All volunteers will be asked to participate in a one 30 minute group Zoom session one week prior to the event (date and time are TBD with input from Volunteer Crew).


Benefits for completing a shift during the AIFF 2021 Live Events include a headset to view the film (as roles and responsibilities allow), meal vouchers to food providers, and two (2) vouchers to AIFF monthly virtual screenings.


All volunteers will be offered a headset to view and listen to the film, though we cannot guarantee that volunteers will have the opportunity during their shift to take in all, or most of the film.

Volunteer Preferences

Please select all events for which you are interested in volunteering. AIFF cannot guarantee that you will be assigned to your preferred event and/or position, but we will do out best! 







 

Available Volunteer Positions

Please read through the descriptions and make selections below in order of preference. Some positions are venue-specific. 

ScienceWorks Venue Manager (MOD)
June 24, 26, 28: 5:00 p.m.-11:30 p.m.

  • Oversee team of venue volunteers (10-15) during the ScienceWorks Events. Training and preparation will be handled by the AIFF staff. 
  • With the support of AIFF staff, assure smooth flow of foot traffic and logistics. 
  • Answer volunteer and patron questions as needed. 
  • Sort minor day-of discrepancies/snags on-site as needed and with the support of AIFF staff. 
  • This position may require up to an hour of additional preparation with AIFF staff at an agreed upon date and time. 

Please Note: We ask that those volunteering for this role be available for all three events at ScienceWorks (June 24, 26, 28). Priority will be given to those who have served as MODs at AIFF in the past. 



Walkabout Venue Manager (MOD)
June 25, 27: 5:00 p.m.-11:30 p.m.

  • Oversee team of venue volunteers (7-10) during the Walkabout Events. Training and preparation will be handled by the AIFF staff. 
  • With the support of AIFF staff, assure smooth flow of foot traffic and logistics. 
  • Answer volunteer and patron questions as needed. 
  • Sort minor day-of discrepancies/snags on-site as needed and with the support of AIFF staff. 
  • This position may require up to an hour of additional preparation with AIFF staff at an agreed upon date and time. 

Please Note: We ask that those volunteering for this role be available for both events at Walkabout (June 27, 29). Priority will be given to those who have served as MODs at AIFF in the past. 



AIFF Film Center Venue Manager (MOD)
June 25: 3:00 p.m.-6:00 p.m., June 26: 10:00 a.m.-5:00 p.m., June 27: 10:00 a.m.-5:00 p.m.

  • Oversee team of venue volunteers (1-2) during the AIFF Film Center Events. Training and preparation will be handled by the AIFF staff. 
  • With the support of AIFF staff, assure smooth flow of foot traffic and logistics. 
  • Answer volunteer and patron questions as needed. 
  • Sort minor day-of discrepancies/snags on-site as needed and with the support of AIFF staff. 
  • This position may require up to an hour of additional preparation with AIFF staff at an agreed upon date and time. 

Please Note: We ask that those volunteering for this role be available for both events at WalkAbout (June 25, 26, 27). Priority will be given to those who have served as MODs at AIFF in the past. 



Alcohol Server (ScienceWorks ONLY)
June 24, 26, 28: 6:30 p.m.-10:00 p.m.

  • Must possess current OLCC Alcohol Server Permit. 
  • Sell beer and wine using AIFF's point of sale (on AIFF-issued iPad).
  • Verify patrons are of legal drinking age by checking ID.



Usher
 
All Dates: 6:45 p.m.-9:00 p.m. 

  • Guide patrons to general admission seating area. 
  • Guide wheelchair users to designated accessible seating area. 
  • Guide patrons with tall chairs to designated seating area (patrons will receive chair height guidelines in advance). 
  • Answer general patron questions about the event flow and schedule, including providing directions to restrooms and vendors. 



Ticket Scanner
All Dates: 6:30 p.m.-11:30 p.m. 

  • Use AIFF-issued iPhones to scan mobile and printed tickets. 
  • Guide patrons to headset booth. 
  • Support headset check-out and return logistics team. 


Headset Logistics Team Member
All Dates: 6:30 p.m.-11:30 p.m. 
  • Issue audio headsets to ticket holders in accordance with the assigned numerical process. 
  • Support patrons in operation of headsets needed. 
  • In event of malfunction, conduct swap of headsets and record accordingly in the system. 
  • At the end of the event, collect headsets and mark 'received' in the system. 
  • Support end-of-night reconciliation process and identification of any missing units.


Popcorn and Merchandise Seller
All Dates: 5:30 p.m.-10:30 p.m. (Plus pick-up and drop-off of equipment and supplies)
    • Operate popcorn machine. 
    • Manage sales of popcorn and merchandise using AIFF point of sale (on AIFF-issued iPad). 
    • Manage transportation of popcorn machine and merchandise to and from each venue. 

    Please Note: Ideally, we are seeking two volunteers who enjoy working together to manage this area over the course of all FIVE days of events, taking responsibility for transporting equipment and merchandise between venues each day. Volunteers must be able to lift 45 lbs. and must be willing to use their own vehicle (hatchback or SUV ideal). AIFF does not offer mileage reimbursement. 



    Floater
    All Dates: 6:45 p.m.-9:00 p.m.
    • Be available on-site as needed to support all volunteer areas. 
    • Become knowledgeable about event logistics, schedule, and headset operation in order to answer patron questions. 
    • Be prepared to step in as needed to receive on-site training and perform other volunteer tasks.
