BTP Parent / Carer Data Form

Dear Parent/Carer,

Congratulations! Your child has been selected to take part in the Brilliant Tutoring Programme (BTP) by The Brilliant Club, an approved National Tutoring Provider.

The Programme aims to re-engage and rebuild pupils’ confidence in core subjects (English, Maths, Science) following the pandemic by working with subject expert university researchers (PhDs).

To give permission for your child to participate in the BTP, please complete all parts of this form.

The information you give us will also allow us to evaluate and improve our work for pupils across the UK in the future. It may also be used by external partners (see appendix) to evaluate, monitor and continually improve our programmes, to demonstrate our impact as a charity and to determine how far we are fulfilling our mission.

Sensitive Data

In order to allow us to evaluate whether our programmes have the same impact on pupils of different ethnicities and those with disabilities, and to enable us to improve where this is not the case, we also ask for your consent to collect the following information:

•    Pupil ethnicity
•    Pupil disability, if applicable

Do you consent to us collecting your child’s ethnicity and disability data from schools in this way?

If you change your mind, you can tell us that you no longer wish us to use this information by contacting us on any of our communication channels.

Images and Sound Recordings

We like to celebrate the achievements of pupils by using images and sound recordings.

We also sometimes share these with our partners in order to showcase our programmes in action.

Do you consent to us using these images and recordings as well as sharing them with our university partners and funders for promotional material?

Sharing sensitive data with our partners

Below we have listed the organisations who support us in our work and whom we share personal data with.

In order to share your child’s sensitive data (such as ethnicity and/or disability) with our partners, we require your consent. Remember that if you change your mind, you can tell us that you no longer wish us to share this information by contacting us on any of our communication channels.

You can find out more about how HEAT will use your child's data here: https://heat.ac.uk/privacy-notice/

Do you consent to your child’s sensitive data being shared with our external partners (see below for details)?

Our External Partners
Our external partners:

The external organisations we will share pupil personal data with (including ethnicity and disability data if provided) are:

Charities and research grant funding bodies that support The Brilliant Club
  • Higher Education Funding Councils
  • Department for Education
  • Higher Education Statistics Agency
  • University and Colleges Admissions Service (UCAS) for Students
  • The National Data Service
  • Higher Education Access Tracker (HEAT)
Why we share data with our partners:

1) To evaluate, monitor and continually improve our programmes, to inform stakeholders of our impact and to determine to what extent we are fulfilling our charitable purpose and mission.

2) To allow us to evaluate whether our programme has the same impact on pupils of different ethnicities and children with disabilities, and to enable us to make changes where this is not the case.

3) To allow us to demonstrate our programme in action to funders and other stakeholders.
Safeguarding and Tutorial Attendance

We take keeping your child safe very seriously. For this reason, all sessions delivered where pupils are joining from home or if there is no teacher present in the room alongside them will be recorded for safeguarding purposes, unless school policy prevents this. Recordings will be deleted after a short time if no safeguarding concerns are raised.

If a student is unable to attend an online tutoring session, we will try, where possible, to reschedule this to make up for the learning they will have missed. Students who are unable to attend will be marked absent from that session.

To ensure that learning is continuous, students access the BTP even if required to self-isolate from school.
