Technology and Equipment Use:
AFC provides communications and computer services and equipment to promote the efficient conduct of its business. Communications services and equipment may include mail, courier services, personal computers, computer networks, computer files, email, instant messaging, scanners, telephone systems, on-line services, Internet connections, Intranets, video equipment, cellular phones, voice mail, and bulletin boards.
Volunteers should ensure that there is no personal correspondence, digital or written, that appears to be an official communication of AFC since volunteers may be perceived as representatives of AFC and, therefore, damage or create liability for AFC.
Volunteers must keep their use of personal cell phones or other personal devices to a minimum so that their use does not interfere with the volunteer’s work or AFC’s operations. Volunteers may be prohibited from having their personal devices on during work hours.
All outgoing messages should be accurate, professional, and work-related, whether by mail, scan, e-mail, Internet transmission, or any other means sent on behalf of AFC or AFC computers.
All devices accessing the network, whether provided by AFC or personally owned, must be protected with passwords or passcodes. Users also should take reasonable precautions to secure such devices at all times.
Users should not use email to transfer sensitive personal information, such as usernames, passwords, Social Security numbers, and account numbers, over the Internet. Users should only open attachments from known and trusted sources.
AFC Loan of Equipment Form:
Volunteers receiving AFC property must sign an agreement acknowledging that if they fail to return property, including computers and cell phones when requested or they have lost or damaged Company property, they are fully obligated to repay AFC for that expense.
Our Right to Access Information:
All AFC communications services and equipment, including the messages transmitted or stored by them, are the sole property of AFC. This includes all documents, files, email and other electronic communications, work products, and other activities performed on AFC computers.
Misuse:
Misuse of Electronic Communication Systems is considered serious misconduct. Depending on the nature of the conduct in question, it also may constitute a violation of AFC’s confidentiality policies and agreements or a violation of other policies relating to appropriate conduct. Volunteers who misuse Electronic Communication Systems will be subject to having their volunteer experience ended at the sole discretion of AFC. Volunteers may also be subject to civil and criminal liability under state and federal law and common law liability.
Drug-Free Engagement:
AFC values its volunteers and recognizes their need for a safe and healthy engagement and environment. Volunteers under the influence of alcohol and/or drugs are less productive and are often a critical risk to the safety, security, and productivity of AFC. We have established a Drug-Free Workplace Policy that is consistent with our desired culture and is in the best interest of AFC.
Having possession of, being under the influence of, or having in one’s system illegal drugs or alcohol while volunteering, at a volunteer-related event, or while on the AFC premises; Using, consuming, transporting, distributing, or attempting to distribute, manufacture, selling or dispense illegal drugs or alcohol while performing volunteer-related duties or on AFC premises;
These substances may not be used anywhere white volunteering, breaks, meals or any other volunteer-related occasions
Bringing illegal drugs and/or alcohol onto AFC premises or property, including AFC-owned or leased vehicles or participants’ or customers’ premises;
Switching, tampering with, altering or adulterating any specimen or sample collected under this policy or attempting to do so;
Operating an AFC vehicle, rental vehicle (under AFC name), or personal vehicle used for AFC purposes under the influence of alcohol or drugs at any time while representing AFC. This prohibition includes the abuse of prescription drugs.
Smoking and Tobacco Use:
AFC complies with all applicable federal, state, and local workplace smoking regulations and provides a work environment that promotes the well-being of its volunteers. Smoking and tobacco use is prohibited inside all AFC facilities and vehicles. This policy includes e-cigarettes or other vaporizing devices that contain nicotine or other non-FDA-regulated chemicals or substances.
Rules of Conduct:
Volunteers are always expected to conduct themselves in a positive and professional manner to promote AFC's best interests. While the following list is not complete, the following are examples of unacceptable behavior or conduct that may lead to the termination of the volunteer relationship:
Misconduct
Failure to treat all customers, participants, visitors, and staff in a courteous and professional manner
Behavior or conduct that is offensive or undesirable or which is contrary to AFC’s best interests
Failure to report to management suspicious, unethical, or illegal conduct by staff, participants, suppliers, or other volunteers.
Participating in and/or failing to report threatening or potentially violent behavior by staff, participants, suppliers, visitors, or other volunteers to AFC
Failure to cooperate with AFC investigations
Violating AFC safety and security regulations
Wearing inappropriate clothing for the work being performed
Failure to perform assigned tasks efficiently and in accordance with established quality standards
Violation of AFC and/or local ordinances’ smoking rules
Failure to maintain cleanliness and order during volunteer engagement at AFC locations
Failure to follow all food safety requirements
Failure to adhere to cash and credit card handling protocol
Displaying a negative or counterproductive attitude, including gossiping about staff, participants, visitors, customers, or other volunteers
Engaging in or threatening acts of violence, including but not limited to possessing firearms or other weapons on AFC property, unless otherwise authorized by law
Any form of violence, including threatening, intimidating, bullying, fighting, or assaulting staff, customer, guest, or participant
Engaging in any form of discrimination, including sexual or other harassment
Reporting to volunteer engagment under the influence of alcohol or illegal drugs, or narcotics or using, selling, dispensing, or possessing alcohol or illegal drugs or narcotics on AFC premises or when performing volunteer duties
Possession, distribution, sale, transfer, or use of alcohol or illegal drugs on AFC property or abuse of prescription drugs while on duty or on AFC property in accordance with our drug and alcohol policy, including driving on behalf of AFC
Disclosing confidential AFC information, including materials, curriculum, work product, private volunteer information, financial data, and other intellectual property
Falsifying, altering, or destroying any AFC record or report
Making false statements orally or in writing or any other dishonesty to staff, customers, management, and any other individuals with whom AFC does business
Stealing, destroying, defacing, unauthorized or inappropriate removal or possession, or misusing AFC property (including food items) or property of another volunteer, customer, or participant
Misusing AFC communications systems, including electronic mail, computers, Internet access, and telephones
Refusing to follow a supervisor or Executive Leadership Team member’s instructions concerning a volunteer-related matter
Failure to engage in a cooperative manner with management, supervisors, staff, customers, other volunteers, and vendors
Failing to wear assigned safety equipment or failing to abide by safety rules and policies
Soliciting or distributing in violation of AFC policies
Using excessive profanity or any objectively abusive language of any other written or unwritten personnel policies or practices
Harassment Prevention:
AFC promotes a productive volunteer environment free from harassing or disruptive activity. Harassment based on a person’s race, color, religion, gender or gender identity, sexual orientation, age, marital status, familial status, disability, national origin, or any other status or characteristic protected by local, state, or federal law will not be tolerated from any volunteer, manager, employee, vendor, customer or others with whom our volunteers come in contact in the ordinary course of their volunteering. AFC does not tolerate verbal or physical conduct by any volunteer that harasses, disrupts, or interferes with another volunteer’s performance or an employee’s performance or creates an intimidating, offensive, or hostile environment.
Sexual harassment encompasses a wide range of unwanted, sexually directed behavior and is defined as unwelcome sexual advances, requests for sexual favors, and other verbal or physical conduct of a sexual nature that makes any volunteer uncomfortable.
Examples of harassment include but are not limited to, name-calling, letters, jokes, e-mails, cartoons, graffiti, pictures, posters, gestures, ethnic slurs, racial epithets, and any other conduct which is aimed at or is unwelcome to an individual or group of volunteers and/or staff.
Non-Discriminatory Practices:
AFC's policy is to provide equal opportunity to all employee and volunteer applicants. No person will be discriminated against in volunteer acceptance decisions because of race, color, religion, gender or gender identity, sexual orientation, age, marital status, familial status, national origin, disability, military status, genetic information, status with regard to receipt of public assistance, membership or activity in a local human rights commission, political beliefs, affiliation or any other basis protected by applicable federal, state or local law.
Safety:
If AFC declares an emergency or because of inclement weather, volunteers are not expected to report for an assignment. Volunteers should be in communication with the supervisor or volunteer coordinator regarding whether AFC is open or closed for volunteer work. Due to our work's seasonal outdoor nature, we may close outdoor work, such as in the garden or farmer’s market, for rain, thunder, and other weather conditions. AFC follows local, state, federal and the CDC’s guidelines.
In Case of an Accident:
Volunteers must immediately notify any staff on site to report any accident, theft, damage, breakdown, or mechanical problem involving an AFC vehicle or a personal vehicle used on AFC business, regardless of the extent of damage or lack of injuries. Written accident reports must be made as soon as possible but by 24 hours after the incident.
Statement of Confidentiality:
Each AFC volunteer has a continuing obligation to protect the internal business affairs of the organization, particularly confidential information. Due to the nature of our work, AFC volunteers may be exposed to confidential information. Volunteers authorized to have access to confidential information may be required to sign a nondisclosure agreement.
Communication with the Public:
All media inquiries and other inquiries of a general nature must be referred to the President. In addition, all press releases, publications, speeches, or other official declarations must be approved in advance by the AFC.
