Measles Safety

In light of the recent resurgence of measles cases across Canada, Students on Ice (SOI) is implementing a measles vaccination policy. This policy was developed in alignment with the standards and practices of other organizations running similar programs, as well as in consultation with Provincial and Regional Health Authorities in Canada, and across each of the four regions of Inuit Nunangat.


As part of this protocol, we require all participants to provide proof of full vaccination against Measles to be able to participate in an expedition this summer. The Measles vaccine is the MMR or MMRV (Measles, Mumps, and Rubella OR Measles, Mumps, Rubella, and Varicella) vaccination. These records can be found in your personal immunization booklet, or by contacting your doctors office, or regional health authority.


It is important to be able to have concrete details regarding your vaccination, we need a proof of vaccination to be sent to our team electronically before being able to welcome you onboard any of our vessels. 


Acceptable forms of proof include:

  • A photo or scan of your vaccination record from a healthcare provider, with your name visible.
  • A digital immunization record from your provincial/territorial health app or website, with your name visible.


If you are not already vaccinated, please reach out to apply@soifoundation.org to discuss next steps, as this is a requirement to board the ship.

COVID-19 Safety

The health, safety, and well-being of all expedition participants and crew is a top priority in every aspect of SOI expeditions! We ask all participants to respect the ship and expedition safety guidelines that will be communicated throughout the SOI journey. This includes monitoring your health for any flu like symptoms including COVID 19 before, during and after the expedition.

Educator Orientation
Please confirm that you will be attending the Mandatory Educator Orientation prior to expedition (date and time details included in your welcome email) (incl. Zodiac team, Media team, Health & Wellness, etc).  
For in person orientation sessions (refer to welcome email): Specific location details will be forthcoming. Educators are expected to remain with the expedition team from this point forward to support the welcoming of early-arrival students. Accommodations will be booked in Ottawa for all educators.

Personal Travel Medical Insurance
SOI Foundation will be purchasing travel medical insurance for all participants. The insurance covers:
  • Emergency Air Ambulance Evacuation from sea and remote locations
  • Medical emergencies - maximum of $5,000,000 CAD

These items will be at the participant's expense. We cannot guarantee that you will be able to purchase everything you need but there will be an opportunity to shop prior to boarding the ship. More details will be provided.

Please read carefully before signing

In consideration of being accepted to participate in an SOI expedition, and any ancillary or side trips/events during and/or enroute, (the “Program”) and the work of Students on Ice Inc. and the Students on Ice Foundation, the Participant acknowledges and agrees as follows:

MEDICAL STATEMENT 

I attest that I am in good health and capable of performing activities during this Program. I further attest that I am capable of caring for myself independently during the Program, and that I will not impede the progress of the program or the enjoyment of others. I understand that this program may take me far from the nearest medical facility and that I must be self-sufficient. With that understanding, I certify that I have not been recently treated for, nor am I aware of any physical condition or disability that would create a hazard to myself or other participants or staff members in the Program.

CONSENT TO MEDICAL TREATMENT
  
I understand that I will be traveling to regions where medical facilities are limited. Medical emergency contingency plans are provided for by Students on Ice Inc. or the Students on Ice Foundation. All participants must have their own medical insurance (including remote medical evacuation insurance) to cover the costs of any such emergency care. Given the remoteness of the program and the nature of the mode of travel it is strongly recommended that all participants consult with their own physician as well as a travel medical professional prior to departure to determine fitness to participate, ensure adequate vaccination(s) if necessary, and for prescriptions of both usual and Program-specific medications. 

I acknowledge that Student on Ice Inc. and the Students on Ice Foundation will together provide a Health and Wellness Team for the Program, comprised of qualified, Canadian-trained health professionals, including either a doctor or a nurse.

I further acknowledge that the Health and Wellness Team will provide basic medical care for participants and staff of the Program, as needs arise. Because they are not licensed to practice medicine in any country outside of Canada, when the expedition is in territory or waters outside of Canada, their care will normally be limited to advanced first aid only.

I consent to medical treatment by the Health and Wellness Team as deemed necessary during the Program. I further consent to receive any and all medical treatment which Students on Ice Inc. or the Students on Ice Foundation consider advisable in the event of an illness or injury suffered by me during the Program

I acknowledge and agree that if I participate in any part of the Program outside my province of residence, that I shall be solely responsible for obtaining and paying for my own travel emergency medical insurance coverage.

I, for myself, my heirs, executors, administrators, successors and assigns hereby release, waive and forever discharge Students on Ice Inc., and the Students on Ice Foundation, and the Health and Wellness Team,  from any claim whatsoever which arises or may hereafter arise on account of any first aid, treatment or service rendered in connection with my involvement in the Program. I acknowledge and accept that such medical services as may be available may be performed by volunteers or outside agencies and that Students on Ice Inc., nor the Students on Ice Foundation have any control or responsibility for the quality of medical attention that may be provided.

Confidentiality & consent to disclose
All conversations with members of our Health and Wellness Team are bound by confidentiality to protect the Participant’s privacy; everything that is said in the context of conversation between client and physician/nurse and/or therapist is kept confidential, subject to legal obligations to exceptions.

I hereby authorize Students on Ice Inc. and the Students on Ice Foundation to release to all members of the Health and Wellness Team, any relevant medical and mental health information contained in my registration record.

AGREEMENT AND RELEASE OF LIABILITY

Voluntary participation
I acknowledge that I have voluntarily applied to and agree to participate in the Program and that I have read the description of the trip as it appears in the Students on Ice advertising materials and website, together with all information contained in the application.

Assumption of risk
I am aware that adventure travel such as that I am undertaking in this Program involves hazardous activities in remote areas of the world with a risk of illness, injury or death which may be caused by forces of nature, from negligence, including the failure to safeguard and protect me from risks, dangers, and hazards (but not the reckless, willful, or fraudulent conduct) by Students on Ice Inc., Students on Ice Foundation, or its affiliated organization and employees, or other agencies known or unknown. I am also aware that medical services or facilities may not be readily available or accessible during some or all of the time during which I am participating in the Program. 

I accept the risks and uncertainty involved as being an integral part of my participation in the Program. I hereby accept and assume full responsibility for any and all risks of personal injury, illness, death, property damage or loss due to the negligence, including the failure to safeguard and protect me from risks, dangers, and hazards (but not of the reckless, willful, or fraudulent conduct) of Students on Ice Inc., the Students on Ice Foundation, each of their employees, officers, directors, agents, contractors or affiliated organizations.  

Release and covenant not to sue
I hereby release Students on Ice Inc., the Students on Ice Foundation., their employees, officers, directors, agents, contractors and all of their affiliated organizations, including the Health and Wellness Team,  from any and all claims, demands, damages, actions or causes of action of any kind or nature whatsoever from liability in respect of any personal injury, illness, death, property damage or loss arising out of or in consequence of participation in or travel to or from the Program, whether caused by force majeure, from negligence, including the failure to safeguard and protect me from risks, dangers, and hazards (but not the reckless, willful, or fraudulent conduct) by Students on Ice Inc., the Students on Ice Foundation, or otherwise.

As consideration for being permitted by Students on Ice Inc. and the Students on Ice Foundation to participate in its adventure and education travel activities, I hereby agree that neither I, nor any of my heirs, personal or legal representatives, or family members will bring suit or make claim for illness, injury or death resulting from negligence, including the failure to safeguard and protect me from risks, dangers, and hazards (but not the reckless, willful, or fraudulent conduct) by Students on Ice Inc., the Students on Ice Foundation, any of their employees, officers, directors, agents, contractors or affiliated organizations (or the supplier of any of the facilities or equipment I will use in these activities) as a result of my participation in this trip. 

Indemnification
I, for myself, my heirs, executors, administrators, successors, and assigns hereby agree to indemnify and save hold harmless Students on Ice Inc., the Students on Ice Foundation, and any agents, employees, medical team, and any other person assisting Students on Ice Inc. or the Students on Ice Foundation, during the Program from any liability, loss, damage, expenses, costs, claims, demands, proceedings, they may incur resulting from my participation in the Program.
 
Governing law and jurisdiction
I hereby agree that all aspects of the relationship between me and Students on Ice Inc., and the Students on Ice Foundation (as well as their agents, delegates, employees, and any physicians and other independent health care practitioners providing medical or other health care and treatment to me, or in association with the Program, including, without limitation, any medical or other health care and treatment provided to me), and the resolution of any and all disputes arising from or in connection with that relationship, including any disputes arising under or in connection with this Waiver, shall be governed by and construed in accordance with the laws of the Province of Ontario and the laws of Canada applicable therein.

Dispute resolution
I agree that any disagreement or dispute arising out of this waiver which cannot be resolved through the reasonable efforts of the parties shall be determined by arbitration in accordance with the Arbitration Act, S.O. 1991, ch. 17, to the complete exclusion of any court, save and except as provided under the Arbitration Act. The arbitration shall be before and decided by a single arbitrator appointed by the parties, with a hearing lasting not more than one (1) day, to be scheduled within ninety (90) days of the disagreement or dispute arising, following a summary procedure determined by the arbitrator, and without right of appeal from the Arbitrator’s decision. 

Severability
The provisions of this Agreement shall be severable in the event that any of the provisions hereof (including any portion thereof) are held by a court of competent jurisdiction to be invalid, illegal, void or otherwise unenforceable; the remaining provisions shall remain enforceable to the fullest extent permitted by law. 

Knowing and voluntary execution
I have carefully read this agreement and fully understand its contents. I acknowledge and agree that the terms of this Waiver are fully understood by me, that I have had an opportunity to obtain independent legal representation with respect to same, and that it is voluntarily entered into by me.  I am aware that this is a release of liability and a contract between myself, Students on Ice Inc. and/or its affiliated organization and sign it of my own free will. 


MEDIA USE RELEASE

I hereby release and transfer to Students on Ice Inc. and the Students on Ice Foundation, their successors, assignees and licensees the exclusive permission to use in whole or in part my name (or child’s name), visual likeness (including photos and video), name of funding partner, and personal quotations or writing that I have submitted for the promotion of Students on Ice and supporting partners including in print, online and broadcast media, online properties (websites and social media channels), and all communication and promotional material of Students on Ice, Inc. and its partners.

This permission extends to all languages, media, formats and markets now known or hereafter devised. This permission shall continue in perpetuity unless I revoke the permission in writing.

I hereby waive the right to receive any payment for signing this release and waive the right to receive any payment for Students on Ice Inc.’s and the Students on Ice Foundation’s use of any of the material described above for any of the purposes authorized by this release. I also waive the right to inspect or approve finished photographs, audio, video, or promotional material.


COVID AND DUTY TO SELF-MONITOR


I am aware of the highly contagious nature of the 2019 novel Coronavirus ("COVID-19") and the risk that I may be exposed to or contract COVID-19, or other infectious diseases, by participating in the Program. I understand and acknowledge that such exposure or infection may result in serious illness, personal injury, permanent disability, death, or property damage. I acknowledge that this risk may result from or be compounded by the actions, omissions, or negligence of others, including SOI employees. 

I understand that while the SOI has implemented preventative measures to reduce the spread of COVID-19, they cannot guarantee that I will not become infected with COVID-19, or other infectious diseases, while participating in the Program and that my participation may increase my risk of contracting COVID-19 or other infectious diseases.

I acknowledge that I must comply with all COVID prevention measures and policies implemented by SOI.

I agree to self-monitor for signs and symptoms of COVID-19 (symptoms typically include fever, cough, and shortness of breath) and contact Students on Ice if I experience symptoms of COVID-19 before, during or within 14 days after participating.

I agree, for myself, my heirs, executors, administrators, successors and assigns, that I shall not hold SOI, or any of its affiliates, employees, officers or directors, liable with respect to any losses or damages that may be sustained in the event that I should suffer any damages or losses, including but not limited to serious illness or death, that may be attributed to having contracted COVID-19 or any other infectious disease in the Program or in transit to or from the Program.  


CODE OF CONDUCT


To ensure that your experience is as safe and successful as possible, the following Code of Conduct has been established. The success of the program will be greatly enhanced by the responsible behaviour of everyone involved. Together we form a team, and we must all strive towards contributing to a positive, safe, healthy, and respectful living environment. These expectations are in place from the time you begin travelling to the program, until you arrive home afterwards. Please read carefully through these expectations.

Life on the ship
A voyage with Students on Ice is not a vacation. The Polar Prince is a working ship. As such, all members of the expedition work together to participate in the daily operations of the ship. Everything from making your bed on the ship, to helping to serve food at lunch, to helping setup educational activities. We work as a team and learn new skills together.

Responsible freedom
Responsible freedom is exercised when your actions are directed by ethical standards. In other words, always use your best judgment and let common sense be your guide.

Punctuality
It is very important that you respect the program schedule and are on time. This allows us to keep on schedule and achieve our goals.

Safety
All participants are expected to understand and abide by the safety guidelines established for the program. Any actions that endanger the health, safety or well-being of another person or one’s own self, will not be tolerated.

Electronic devices
SOI aims to reconnect youth with nature. We live in a media and technology saturated world, therefore the use of most technology during the program is discouraged. This will foster an environment where youth can be fully present and make the most of their time during the program.

Cell phones
Cell phones should only be used for photos during program hours. Cell phones are not to be used as a means of communication, for playing games, for listening to music, etc. If a youth is using a cell phone for anything other than taking photos during program hours, they will be asked to put it away.

Other devices
No personal laptops, iPods, tablets, gaming systems, headphones or other similar electronics are allowed during the expedition at any time. The inability to hear announcements, instructions, and possible alarms at any time of day may compromise your safety while onboard the ship. Use of these devices is acceptable only during travel days.

Drugs, cannabis, alcohol & cigarettes
SOI puts the safety and well-being of participants at the forefront of everything we do. All participants have an obligation to ensure the safety of others by not participating in activities if impaired by any legal or illegal substance. A strict no drug and alcohol policy will be in place throughout the program from the time you leave home until you return. Smoking and/or vaping cannabis, consuming cannabis products, and possession of cannabis in any form is prohibited for the duration of your time with the program. This policy will be strictly enforced at all times.

Cigarette smoking and/or vaping during the program is strongly discouraged. If required, cigarette smoking and/or vaping may only take place in designated smoking areas during breaks or free times. Cigarette butts must be disposed of correctly in designated bins and should never be left on the land.

Relationships & boundaries
Intimate, romantic and/or relationships of a sexual nature are not permitted during this program. The successful formation and safe maintenance of our temporary learning community requires appropriate behavioural boundaries. These boundaries keep our educational pursuits from being overwhelmed or compromised.

All participants are not to enter bedrooms other than their own. There are designated public spaces to gather with other participants. Please be mindful of occupancy limits.

Disciplinary measures
If a participant is found to be in violation of any part of this code, the Expedition Leader reserves the right to impose disciplinary measures which may involve: a verbal and/or written warning, refusal of the right to participate in certain activities during the program, and/or sending a participant home early at their own expense.

Brave Spaces Commitment
At SOI, we treat each other with respect and dignity, regardless of age, race, gender expression, gender identity, sexual orientation, levels of ability, and all other diverse identities.

We value safe, courageous, and accountable spaces, where collaboration and shared understanding are priority. We practice communication that is open and honest and value diverse and diverging views as an opportunity for growth and creative solutions.

We encourage everyone to use gender-neutral language, to check and respect a participant’s pronouns, and to consider the importance of lived experiences and personal sharing when interacting with others.

I have carefully read this Expedition Code of Conduct and fully understand its contents. I am aware that this is a contract between myself, Students on Ice Inc. and/or its affiliated organizations and sign it of my own free will.
