Travel

At Scotty's we want to reduce any barriers that may stop a family from attending this event, so we can offer a travel allowance to those who really need it.

This will be worked out at 19p per mile from your home address to the venue and will be put into your bank account on Tuesday 8th September 2026.  You can then use this towards your preferred method of travel.

Scotty's can only pay a maximum of £150 per family towards any travel allowance.

Media & PR

Scotty's uses images and video footage to raise awareness of the charity and the work we do.  It is a powerful way of highlighting and evidencing the support the charity offers to our families.

We would like to take, store and use photos/video footage of your child at the event for the next two years. After this point, we will either delete the footage and images or ask for your consent again.  
You can, of course, withdraw your consent at any time by contacting Scotty's but remember, Scotty's will not be able to withdraw material that is already in the public domain.  

SOME  of the ways in which Scotty's may use your images/video footage: 

Scotty's websites. Social media (including, X, Facebook, Instagram, TikTok, YouTube, LinkedIn) Reports & Evaluations. Sharing with funders. Displays. Promotional Videos. Presentations. Press releases and media coverage.Printed Publications (leaflets, brochures, books, programmes, posters etc) Print and online media (newspapers, magazines, websites)  Television and radio.

GDPR.

Scotty’s Little Soldiers make every effort to store your data/images/photos/video footage securely and takes data protection very seriously. 

Our main storage solutions are provided by Microsoft and Salesforce, two of the leading data organisations globally.  We are also a digitally led organisation and do not keep any paper copies of information long-term.

All data is kept in accordance with UK, EU and International law. If you would like to read our Safeguarding policy which includes our data protection policy, please just ask.

Considerations.

Before giving us permission to store and use images/video footage of your child, please consider the following points carefully:

Scotty's may not always be able to notify you of where the image/footage is being used. Is your child happy for their image/video footage to be used?  Remember, their school friends and people they know may see it. Have you had a conversation with them to check they are also happy? Often our funders will want evidence that shows the impact their funding has had and will ask us to share with them photos/footage for them to use on their own media platforms, such as their own websites and social media sites.  We always ask for our Terms of Use Agreement to be signed beforehand, but your photos/footage could be shared far and wide. Once an image or footage is on the internet, it means that it is then 'out there' for the public to see. We then lose control of the use of that image/footage and whilst uncommon, there are risks associated with sharing images and video footage. These risks include:

1. Images being modified or misused out of context, for example to create child abuse images.

2. A child being identified for the purpose of future grooming and abuse.

3. A vulnerable child being identified by an existing perpetrator of abuse.

Scotty's Terms and Conditions!

1. Whilst at the event the children are still the responsibility of their parent/carer and therefore the parent/carer must remain in the same building throughout the event.

2. Scotty's can only help towards the cost of travel if needed and only up to the value of £150 per family.

3. Families are responsible for looking after their own belongings. Their personal belongings will not be covered on Scotty’s Little Soldiers' insurance. Scotty’s Little Soldiers cannot accept any liability for loss or damage to their belongings.

4. Scotty’s Little Soldiers can’t take responsibility or pay compensation for things beyond their control that destroy or cause damage. For example: fire, flood, storm or other weather damage, break-in, criminal damage.

5. Whilst attending a Scotty event, I understand that myself and anyone I am bringing along are representing the charity so therefore will act with respect, kindness, and in accordance with the charity’s values.

6. Failure to abide by the terms and conditions will mean that the family may lose their rights to attend any Scotty's Little Soldiers' events in the future.

7. I understand that if we can no longer attend, we need to notify Scotty's asap.
