Space Reservation Guidance

Location: 550 Broad Street, Newark, New Jersey 07102 The Geraldine R. Dodge Foundation encourages and welcomes partners who share in our commitment for a more equitable New Jersey, to utilize  our space at 550 Broad Street.  Below we have outlined helpful guidance to ensure your visit is smooth and successful.

Availability: Monday -Thursday between 9 am - 5 pm. Please note on Wednesday our large conference room is not available from 11-1. Reservations are not typically available on Fridays or weekends.

Dodge Foundation Space Use Guidelines
1. Reserving the Space

How to Request: We ask that you submit your reservation request at least 10 business days in advance using our online form (this form). This will help us gather your preferred date and time, how many people you're expecting, the purpose of your gathering, and whether you'll need A/V support or plan to have catering for your event.

Confirmation: We'll follow up by email once your reservation is confirmed. Please note that all reservations are subject to availability.

Available Days and Times: In order to accommodate the Foundation’s use of the facility and availability of our staff, space reservations are available Monday -Thursday between 9 am - 5 pm. Please note on Wednesday our large conference room is not available from 11-1. Reservations are not typically available on Fridays or weekends. If you need the space on these days please reach out to Hesham Tamraz, Director of Operations, at (973) 695-1170.

Changes and Cancellations: If your plans change, please let us know as soon as possible and at least 3 business days in advance so we can plan accordingly.

2. Our Spaces

We have three reservable spaces:

  • Main Conference Room: seats up to 24, with bench seating for up to 9 additional guests
  • Small Huddle Room: Seats up to 2
  • Medium Huddle Room: Seats up to 6
  • Small Conference Room: seats up to 8
  • Kitchen / Common Area: seats up to 25

3. Before Your Event

In addition to completing the reservation form, please send us the following at least 72 hours before your event:

A complete attendee list (building management requires this in advance; please also flag any last-minute additions)

Catering details, if applicable, including vendor name, menu, delivery time, and your setup and cleanup plan

4. During Your Visit

Arrival: Please check in at the building security desk when you arrive.

Food and Eating: Eating is welcome in the kitchen area using the tables provided. We ask that food not be consumed in the meeting rooms, on lounge couches, or on bench seating to keep the space clean for everyone. If your event has specific needs, reach out in advance and we're happy to discuss options.

Furniture and Equipment: We ask that you keep furniture in its original arrangement and use A/V equipment as you find it. If you need something adjusted, please ask us. 

Wi-Fi: We'll share Wi-Fi details when you arrive.

Smoking, Vaping, and Alcohol: Smoking, vaping, and alcohol consumption are not permitted in the space.

Accessibility: We want everyone to feel welcome. If you or your attendees need any accommodations, please let us know when you submit your request and we'll do our best to assist.

5. After Your Event

We ask that you leave the space in the same condition you found it. This means:

Bagging and removing all trashReturning the room to its original layout

6. Photography and Use of Our Name

You're welcome to take photos or videos for your own internal use. If you'd like to reference the Foundation's name, logo, or images of the space in any public-facing materials or social media, please reach out for written approval first.

7. A Note on Liability

Guests are responsible for any damage to the space, furniture, or equipment during their event. For larger gatherings or events with catering, we may ask for proof of general liability insurance. We'll let you know if that applies to your reservation.
